Client case

UATL

Configuration of an administrative management application connected to a website.

The Association

The Angevine University of Free Time (UATL), a cultural association for knowledge exchange and a continuing education institute, chose to rely on the expertise of the OJC Software teams to modernize their digital solutions.

Given the very limited features of the existing systems, an IT committee was created within the UATL to identify needs and seek a partner offering the integration of an adapted IT tool.

Client challenges

Have a public site connected with a management application

Facilitate the processing of memberships, requests, and payments

Offer a space for exchange between facilitators and participants

Have a dashboard on activities and members

The web solution

The UATL project had to follow a very precise schedule imposed by two major deadlines: the opening of registrations and the start of the academic year. To meet this requirement, OJC Software divided the project into 2 key phases.

During the first phase, OJC set up online registrations from the website, and at the same time, the corresponding management screens (definition and planning of activities, monitoring memberships and payments). OJC also carried out the migration of activity data from the last 10 years. This allowed UATL to prepare the new membership period on time and in continuity with previous years, benefiting from the new tools that facilitate this operation.

The second phase was intended to finalize registrations and prepare for the start of the academic year.

On the intranet side, a qualification system for the wishes of future members was implemented, allowing for automatic or manual assignment of available places. On the public site side, a member area was added, presenting the final assignments and providing the possibility to exchange messages and documents.

Finally, dashboards were made available to UATL administrators, allowing them to verify the proper functioning of the entire system before the start of the academic year.

Observed gains

Optimization of productivity and organization of working time

Better monitoring of memberships and completed payments
